Getting started and pricing
How Outsynk charges, what the free call covers, and what you get before any paid work starts.
With Outsynk, the cost of an AI consultant for a small business depends on the time the work actually takes: we bill hourly, with no price list and no minimum project size. The first 30-minute call is free. Before any paid work starts, you get a written estimate, and if the work starts to go beyond it, you are told and the extra hours are billed.
See how the first month worksOutsynk charges by the hour, because every business and every solution is different, and you should pay only for the time the work actually takes. A job that needs one day is billed as one day. You get a written estimate before work starts, and if the work is heading past it, you are told before the extra hours are billed.
See how the first month worksOn the free 30-minute call, Outsynk asks a lot of questions about how your business runs and what is slowing you down. You get an honest first read and a clear next step, and simple questions get answered right there. There is no pitch and no cost. It helps to bring a rough idea of your tools and what bothers you most.
Pick a time for the callOutsynk is not an agency; it works like a fractional CTO or senior solution architect on the owner's side of the table. Agencies are paid to build. We're paid to get you the right outcome, which sometimes means building and sometimes means telling you not to. A senior delivery team with 8+ years delivering software for US businesses leads every engagement.
See the fractional CTO serviceAn AI consultant like Outsynk learns how your business actually runs, finds where time and money leak, and works out what technology could fix it. Then the work gets done: the right tools set up and connected, custom automations built where nothing fits, or the right people hired and managed. Sometimes the answer is a tool you already pay for, set up properly.
See how AI consulting worksYou may not need an AI consultant: plenty of owners set up a simple tool themselves, and sometimes the answer is a tool you already pay for. Outside help pays off most when a problem spans several tools, involves customer data, or comes with a quote for a build. Outsynk answers simple questions on the free call, so you can find out which case you are in.
See who Outsynk is a good fit forTo choose an AI consultant, ask who will actually do the work, how you will be billed, who owns the code and accounts, and what it will cost to keep running. Red flags include hourly billing with no written estimate, vague scope, a push to build before understanding your business, and no plain answer about your data. Outsynk puts its answers to each in writing.
See the red flags we look forOutsynk has no minimum project size, and small projects are welcome. Some fixes take a day, and a job that needs one day is billed as one day. Small businesses often get the most from a single well-chosen change, such as setting up a tool they already pay for. The first 30-minute call is free, so you can ask before committing to anything.
See how tool setup worksPayment terms at Outsynk are flexible and agreed for each project. Usually there is an advance payment, then invoices every two weeks or monthly for the hours worked. Billing is hourly against a written estimate you get before work starts, and if the work is heading past that estimate, you are told before the extra hours are billed.
See how the first month worksYes. The written, prioritized plan Outsynk delivers is yours to keep, whether or not we do the work. It sets out where time and money are leaking, what each fix would cost and save, and an estimate for each next step. If it recommends a build, you can take it to any agency, and we'll help you choose one.

What it is like to work with Outsynk day to day, from who does the work to how you hear about progress.
Who does the work depends on the job: Outsynk for setups and smaller builds, partner developers we trust for custom builds, a vetted agency for larger projects, or your own team. Whoever builds it, Outsynk stays accountable for the result, with one point of contact the whole way. Every engagement has certified leads and vetted developers behind it.
See who builds whatHow long it takes to implement AI or automation in a small business depends on what the right solution turns out to be. Some fixes take a day; setting up several tools or building an app takes longer. After the free call, Outsynk scopes the work and gives you a written estimate before anything starts, and tells you early if it is heading past it.
See how the first month worksYou can change things mid-project, and Outsynk tells you about every change: what is changing, what it involves, and how it affects time. Because billing is hourly against a written estimate, you see what a change means before the hours add up, and you are kept updated throughout. Scope creep never happens quietly.
See how we workWhile Outsynk works, you get a plain-language written update every Friday, readable in two minutes on your phone. It covers what was done, what comes next, risks flagged early, and every decision you need to make, with a recommendation. You have one point of contact the whole way, and progress you can see every week.
See an example weekly updateNo, you don't need to be technical to work with Outsynk. Everything is explained in plain language, from the first call to the weekly updates, and every decision comes with a recommendation. We work on the owner's side of the table, set tools up so the people you already trust can run them, and train your team to use them.
About OutsynkAfter the work is finished, Outsynk hands it over working, with your team trained to use it, and checks in after 30 days on tool setups. If you want ongoing support, we stay alongside you with monthly check-ins, upkeep of what we set up, and a second opinion before any technical spend. If not, we hand back access and close our accounts.
See the fractional CTO serviceOutsynk works flexible hours that cover all US time zones, and communicates on whatever channel you prefer, such as email, Slack, Teams, WhatsApp, or phone and video calls. About OutsynkAI and automation
Plain answers on where AI and automation help a small business, and where they don't.
A small business should automate first the repetitive work that eats the most hours for the least judgment: sorting leads, chasing unpaid invoices, building the weekly report, copying orders between systems, or answering the same customer questions. Start with the biggest time saving for the least effort. Outsynk finds these by looking at how your week actually runs, then ranks them in a written plan.
See how we find the opportunitiesYes. AI and automation can usually work with the tools you already use, and Outsynk starts from them, such as Shopify, WordPress, HubSpot, QuickBooks or Google Workspace. Often the answer is a tool you already pay for, set up properly and connected to your data, rather than something new. Where a gap remains, we connect your systems or build the missing piece.
See how tool setup worksAI is worth it for a small business when it saves real hours or prevents real mistakes, and not otherwise. It is strong at sorting, summarizing, drafting and moving information between systems, and a liability where accuracy matters and nobody checks its work. Outsynk measures the work in hours saved and mistakes avoided, and AI is always optional.
Read: AI for small business ownersNot with Outsynk. AI is used for efficiency, not to replace your employees: sorting, copying, chasing and re-typing go to the machine, and the judgment calls stay with your team. We judge the work by time saved and mistakes avoided, never by roles removed, and we train your people to run the tools. If you want AI to replace your team, we are not the right fit.
Read our stance on AIYes. Outsynk builds AI chatbots for small businesses, such as website chat or WhatsApp and Messenger bots that answer customer questions and hand off to a person when needed. Before any AI tool sees your data, we name it and tell you what it will see. The chatbot can connect to tools you already use, and your team handles the conversations that need a person.
See how we build what's missingNo, you don't have to use AI; with Outsynk it is always optional. We suggest it only where it genuinely helps, and solve the problem without it if you prefer, with no lesser result. You choose the level: no AI, AI only on data you clear, or AI where it helps, with every tool named before it is used.
See the three AI levelsAI can help a small business by taking over repetitive work: sorting leads, drafting replies, summarizing documents, answering common customer questions and moving data between systems. That gives your people time back for the work that needs judgment. Outsynk finds where AI fits in your business, sets it up or builds it, and tells you plainly where it would not help.
See the six servicesAn AI agent is software that uses an AI model to carry out a multi-step task on its own, such as reading an enquiry, looking up details and drafting a reply, rather than answering a single question. Most small businesses should start simpler, with a well-set-up tool or automation, and add an agent only where it clearly saves time. Outsynk helps you tell which you need.

What Outsynk asks for, what it touches, and what happens to your data when the work ends.
Using AI with business and customer data can be safe when you control what each tool sees, and Outsynk asks for written permission first. We use read-only access wherever possible, name every AI tool and what it will see before it touches your data, never sell or share it, and delete our working copies when the work ends. You can also choose no AI at all.
Read our data commitmentsWhether an AI tool trains on your business data depends on the tool and its settings, which is why Outsynk checks before using one. We tell you which tool, what it will see and how its provider treats your data, before it is used. If you don't like the answer, we don't use it, and customer and financial records can stay out of AI entirely.
Read our data commitmentsOutsynk needs only the access the job requires, with your written permission first. We ask before connecting to any system, use read-only access unless the work genuinely needs more, and name exactly what we will and won't see. Access ends at handover: we hand it back, close our accounts on your systems and delete our working copies of your data.
See an example access requestYes. Outsynk is happy to sign an NDA if you want one, though one isn't required to start talking. Either way, your data is never sold or shared beyond the people and tools you approve, and you can ask where it is and who can see it at any time and get a plain answer, in writing if you want it.
Read our data commitmentsYes. Outsynk takes on GDPR- and HIPAA-sensitive work and designs the solution around those requirements from the start, including which tools are used, what each one sees and where data is kept. The team has delivered software in sectors including healthcare and fintech. We use read-only access wherever possible and name every AI tool before it touches sensitive data.
Read our data commitmentsBuilding, fixing and who owns the code
Building new software, rescuing stuck projects, and who owns what at the end.
You do. With Outsynk, the business owner owns the code, the repositories and every account, and that is written into the contract. It applies whether Outsynk, a partner developer or an agency writes the code, and it stays yours if you stop working with us. Tools and subscriptions sit in your own accounts, so nothing leaves with us.
See the red flags in developer proposalsBuy an off-the-shelf tool when one already does most of what you need, and build custom software only when nothing fits how your business works. The same applies to AI tools. A tool you already pay for, set up properly, beats a custom build more often than vendors admit. Outsynk is paid for the outcome, not the build, so we tell you when you don't need to build.
See how tool setup worksYes. Outsynk takes over unfinished projects, whether the developer disappeared, the project stalled, the app is stuck before launch, or the system keeps breaking. We start with an honest assessment in plain language and a fix list in priority order, then fix it or tell you plainly what it needs. A description of what's going wrong is enough to start; access can wait.
See how we fix what isn't workingWhat it costs to build an app or custom software depends on what it needs to do, which is why Outsynk has no price list. We scope the work first and give you a written estimate before anything starts, then bill hourly for the time it actually takes. If it is heading past the estimate, you are told before the extra hours are billed. Plan for upkeep after launch too.
Read: 7 questions to ask before hiring an app developerYes. Outsynk finishes apps started with AI app builders that mostly work but are stuck before launch. We review what is there, check the security basics, such as logins, other people's data, secrets and payments, then fix what blocks launch or tell you plainly what it needs. You keep the code and the accounts throughout.
Read: why AI-built apps get stuck at 80%Software maintenance after launch is an ongoing cost that is easy to underestimate: hosting and running costs, renewals, updates, fixes and support all continue once the software is live. The right budget depends on what you built and how much it is used. Outsynk can keep up what we set up, with monthly check-ins, and help you plan that budget before you build.
Read: software maintenance after launchUse a no-code tool when your process fits what it does and you want your own team to change it; choose custom code when you outgrow its limits, need more control over how sensitive data is handled, or need it to fit how you work. Many businesses start no-code and rebuild only the parts that need it. Outsynk will tell you which fits.
See how we build what's missingHiring and managing developers
Choosing, vetting and managing developers and agencies, with or without Outsynk.
A developer's quote or proposal is fair when the scope is clear, the estimate is in writing, you are told before it is exceeded, and you own the code and accounts. Red flags include an hourly quote with no estimate, 'we'll figure out the details as we go', one developer with no one checking their work, and no test version before going live. Outsynk reviews proposals and calls out red flags for you.
See the six proposal red flagsTo hire a developer for your small business, start with a clear written brief, then ask every candidate who will do the work, how they test before going live, who owns the code and accounts, and what happens after launch. Compare answers side by side, not just prices. Outsynk helps you hire developers, writes the brief and compares candidates with you.
Read: how to hire an app developerHire a freelancer for a small, well-defined job one person can own, and an agency for larger projects that need several skills, testing and someone checking the work. Either way, insist on a clear scope and owning your code. Outsynk helps you choose, and works with partner developers for custom builds and vetted agencies for larger projects.
See who builds whatTo vet a software development company, ask who will actually write the code, how work is reviewed and tested, how they estimate and bill, who owns the code and accounts, and how you will see progress. Talk to the person who would lead your project, not just sales. Outsynk finds and vets agencies for you and compares their proposals side by side.
Get the 7-questions scorecardYes. Outsynk works with the agency you already have: we review their proposals, write a spec they can quote against, sit in as your project lead, and help them raise their standards. You keep the relationship, and someone on your side checks scope, quality and progress every week.
See how we work with buildersYes. Outsynk can manage your outsourced development team or agency as your project lead, on your side of the table. We track scope, flag risks early, check the work, and send a plain-language update every Friday with every decision you need to make and a recommendation. You stay in control without having to be technical.
See how we work with buildersYes. Outsynk writes app requirements as a spec developers and agencies can quote against: what it must do, for whom, which systems it connects to, and what counts as done. A clear spec makes quotes comparable and stops budgets quietly doubling from unclear scope. The spec is yours to keep and take to anyone.
