Who we are
This website is run by Outsynk ("we", "us"), 8 Rosebank Dr, Toronto, ON M1B 5Z3, Canada.
If you have a question about your personal information, email hello@outsynk.com.
What this policy covers
This policy explains what personal information we collect through this website, why, and what you can do about it.
It does not cover the business data you share with us during a project. That is governed by your written agreement with us and by the commitments on our Your data page.
What we collect
When you book a call
Your name, email address and anything you choose to write in the booking form. Bookings are handled by our scheduling provider.
When you sign up for emails
Your email address, which is stored with our email service provider so we can send you new guides and articles.
When you email us
Whatever you include in your message.
When you browse the site
We use Google Analytics, installed through Google Tag Manager, to understand how the site is used. It records things like the pages you visit, how long you stay, the website that sent you here, your device and browser type, and your approximate location (city or country). Google processes your IP address to work out that location but does not store it in our reports.
We see this information only as totals and trends. We do not use it to identify you, and we do not combine it with your name or email.
We also use Microsoft Clarity to see how people use our pages: where they click, how far they scroll, and replays of visits with personal details hidden. Clarity masks what you type into forms, so we never see your email address in a replay. Microsoft collects this data through cookies, including some set on Microsoft's own domains, and may use it as described in the Microsoft Privacy Statement.
When you download a guide
Nothing beyond the browsing information above. Guides and checklists download without signing up.
How we use it
- To arrange your call and prepare for it.
- To send the emails you asked for: one email when there is a new guide or article.
- To reply when you contact us.
- To see which pages are useful and improve the site.
We do not run ads, we do not use Google Analytics advertising features, and we do not use your information to show you ads.
Who we share it with
We never sell your personal information.
We share it only with the service providers that run parts of this website for us (Google and Microsoft for analytics, plus our scheduling and email providers), and only as much as they need to do that job. We may also disclose information if the law requires it.
Where it is stored
Our service providers, including Google and Microsoft, may store and process information outside Canada, including in the United States. When that happens, it may be subject to the laws of the country where it is stored.
How long we keep it
- Google Analytics data: 14 months, then deleted automatically.
- Microsoft Clarity: visit replays for 30 days; heatmaps and summary data for 9 months.
- Booking details: as long as we need them to work with you, and no longer than 24 months after our last contact unless you become a client.
- Email signups: until you unsubscribe.
- Emails you send us: as long as needed to deal with your request.
Cookies
Cookies are small files a website saves in your browser. This site uses analytics cookies from Google Analytics and Microsoft Clarity. We do not run ads or set advertising cookies ourselves.
| Cookie | Set by | Purpose | Lasts |
|---|---|---|---|
_ga | Google Analytics | Tells visits apart so we can count unique visitors | 2 years |
_ga_* | Google Analytics | Keeps track of your current visit | 2 years |
_clck | Microsoft Clarity | Recognises a returning browser | 1 year |
_clsk | Microsoft Clarity | Links pages viewed in one visit | 1 day |
Clarity can also set cookies on Microsoft's domains (such as MUID and CLID), which Microsoft uses across its services, including for advertising. Google Tag Manager itself does not set cookies. Our booking and email providers may set their own when you use their forms.
Where the law requires it, we ask for your consent before setting analytics cookies. You can also block or delete cookies in your browser settings, or install Google's Analytics opt-out add-on. Declining in our cookie banner, where it appears, turns off both Google Analytics and Clarity. Blocking them will not stop the site from working.
Your choices and rights
You can ask us to show you the personal information we hold about you, correct it, or delete it. You can withdraw your consent at any time, and every email we send includes a one-click unsubscribe link.
To make a request, email hello@outsynk.com. We will respond within 30 days.
If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada. Depending on where you live, including some US states, you may have additional rights. Ask us and we will help.
Children
This website is meant for business owners and is not directed at children. We do not knowingly collect information from anyone under 16.
Changes to this policy
If we change this policy, we will update the date at the top of this page. If a change is significant, we will say so on the site.
